The Client
Tokio Marine Kiln Insurance Services (TMKIS) is a leading international provider of specialist and corporate insurance for clients within the Lloyd’s and Company markets. Formed in 2014 through the integration of Kiln and Tokio Marine Europe, Tokio Marine Kiln has been founded on empowered expertise and the strength of its relationships. As part of one of the world’s largest insurance groups, Tokio Marine Group, the business empowers more than 700 employees in 22 cities to protect customers against complex and ever changing risks. It has seven underwriting divisions focused on Specialist Property, Liability & Motor; Corporate Property & Liability; Construction; Marine & Enterprise Risk; Aviation & Space; Accident, Health & Life; and Reinsurance products, which are complemented by a first class claims team and an expert risk engineering service.

The Challenge
TMKIS was planning to relocate its London operations from three existing locations to a new state of the art 80,000 sq ft workplace at 20 Fenchurch Street. This would be a landmark project within the insurance industry in that the relocation marked the joining together of three distinct and diverse businesses within the Group. The client was looking for expert advice and guidance with regard to the consolidation of its existing separate IT infrastructures and AV systems into a new purpose built innovative workspace aligned with global standards. A particular challenge that underpinned this project was how to bring together the three business cultures via the new technology and workspace. Cordless Consultants (Cordless) was engaged to provide IT and AV Visioning and Workplace Relocation Consultancy, drawing on its heritage and knowledge of workplace transformation and change.
TMKIS wanted to provide its users with an innovative workplace user experience that would allow employees and visitors to the building to benefit from a high specification technology environment – making their interaction with the built environment positive and engaging. Of particular importance to TMKIS was the need for business continuity and the use of new multimedia technology such as Video Conferencing, Room Booking, TV distribution and media walls/branding. The business wanted to achieve a high quality, resilient and flexible working environment that would enable collaboration.
Cordless’ prior experience of working with the overall Project Management Company, Cushman and Wakefield; coupled with its proven track record of delivering complex projects in the Insurance industry, meant that the Cordless team was a good fit within the team as TMKIS’ IT and AV consultancy partner. Cordless would deliver consultancy from the early phase strategic thinking through to the hands-on project management of IT and AV within the relocation programme.

The technical scope of the Consultancy included:

- IT and AV Vision and Strategy:
Cordless firstly worked to understand and analyse how people would use IT and AV in the new workplace, spending time on research, survey and workshop activities to explore new and emerging technologies to build a future vision for the client that would meet its IT and AV aspirations.
Initial early stage budgets and strategic options were presented to the business to enable timely decision making on the best IT and AV solutions for the client’s needs.
This valuable early stage engagement meant that the anticipated IT and AV objectives could be built into the design and implementation phases of the construction programme.
RIBA-aligned specialist IT and AV Design, Procurement and Project Management:
From initial concept development and establishing a clear brief and budget through to detailed design, the Cordless experts engaged with TMKIS’ team, closely co-ordinating all IT and AV workstreams with the professional team. Centralised vendor independent procurement co-ordination allowed for the selection of the best solutions on the market for TMKIS’ requirements.
Finally, proactive project management implementation, move management and handover made sure that the delivery of the selected IT and AV solutions was dovetailed into the construction programme to deliver on the client’s original IT and AV vision.
To help facilitate the integration of the project recommendations into Business As Usual, Cordless also spent time working as an integral part of the client’s IT team.
The Results
The business is now benefitting from high specification working facilities including a range of meeting rooms – offering a high level of intelligence and control for customer meetings, through to very functional spaces for internal meetings. At the top of the spectrum, are video conference rooms with significant automation offering recessed microphones which present through the meeting room table when used and blinds that automatically come down to adjust the room lighting when a video conference takes place.
The client has been incredibly happy with the part that the Cordless Consultants team has played in the relocation to its new premises. With Cordless focusing on the detail of the IT and AV with careful consideration of the blend of technology and culture, TMKIS has been able to ensure that the future IT and AV workplace aspirations of the business could be realised to deliver an innovative, state of the art built environment.
